Daio Paper Group Basic Policy on Personal Information Protection

The Daio Paper Group (referring to Daio Paper Corporation and its domestic subsidiaries; hereinafter referred to as “the Group”) considers the protection of personal information a social responsibility and complies with the Act on the Protection of Personal Information (hereinafter referred to as the “Personal Information Protection Act”), other related laws and regulations, and guidelines related to the Personal Information Protection Act (hereinafter referred to as “laws and regulations pertaining to personal information”). The Group handles personal information appropriately based on the basic policy set forth below.

Basic policy

  1. When acquiring personal information, the Group shall be as specific with the purpose of use as possible and acquire only as much information as necessary.
  2. When changing the purpose of use, the Group shall not go beyond what is reasonably deemed relevant to the purpose of use before the change.
  3. If it becomes necessary to use personal information beyond the scope of the original purpose, the Group shall obtain the consent of the individual for such use, except as permitted by law.
  4. The Group respects the rights of individuals regarding their personal information and responds appropriately to requests for disclosure, correction, deletion, suspension of use, etc., of personal information in accordance with the Personal Information Protection Act.
  5. The Group shall not provide personal information to third parties except with the individual’s consent or as permitted by law.
  6. The Group shall implement internal training for its directors and all employees (including regular employees, temporary employees, and contract workers) to ensure compliance with laws and regulations concerning personal information.
  7. The Group shall make appropriate improvements to its personal information management system in response to changes in laws and regulations.

Handling of personal information

Purposes of use of personal information

Tokyo Pulp & Paper International Co., Ltd. (hereinafter referred to as “the Company,” “we,” or “us”) uses personal information within the scope necessary to achieve the following purposes of use:

  1. To research, develop, and provide better products and services to satisfy customers
  2. To bill and pay for transactions
  3. To negotiate, contact, and make inquiries in connection with various transactions such as sales and material purchases
  4. To inform customers of new products, events we plan such as the Elleair Ladies Open, consumer campaigns, and other information about our company, to send materials, and to respond to inquiries
  5. To conduct drawings and send prizes for consumer campaigns
  6. To plan, communicate, and make inquiries when conducting publicity activities through newspapers, magazines, TV commercials, etc.
  7. To communicate and respond to customer inquiries and complaints
  8. To negotiate, communicate, and make inquiries when outsourcing product transportation, processing, and other operations
  9. To maintain health and safety, such as preventing traffic accidents and disasters at the plant
  10. To carry out selection and hiring procedures and other operations related to recruitment activities
  11. To protect the interests of shareholders and allow them to exercise their rights in accordance with the Companies Act
  12. To manage shareholders, such as by preparing shareholder data in accordance with prescribed standards based on various laws and regulations
  13. To address other matters incidental or related to our business

Shared use of personal information

Our group companies share personal information with one another as described below. We limit the information to be shared to only that which is necessary and ensure that all shared users have personal information management systems similar to our own.

Safe management measures related to personal information

We have prepared internal rules and are working to address security by implementing the steps below in order to prevent and rectify unauthorized access to, leaks/loss of, or damage to personal information.

  1. Establishment of basic policies for the implementation of measures stipulated by laws and regulations pertaining to personal information to ensure appropriate handling of personal information and personal data
  2. Establishment of rules that specify the handling of acquisition, use, storage, provision, deletion, disposal, etc., of personal information as well as roles and responsibilities
  3.   6. Technical safe management measures, such as the introduction of systems to protect information and communication devices that handle personal data from unauthorized external access or unauthorized software

Supervision of contractors

When entrusting a third party with the use of personal information, we will examine the appropriateness of the work looking at the safe management measures taken by the third party. At the same time, we will provide the information to the third party only after concluding an outsourcing agreement that stipulates the matters necessary for appropriate supervision, including the preservation of confidentiality. Through these and other means, we will implement proper supervision of contractors.

Pseudonymized information

When we use pseudonymized information (information about an individual obtained by processing personal information in such a way that it cannot be used to identify the individual unless it is cross-referenced with other information), we will comply with laws and regulations pertaining to personal information and follow appropriate procedures to create the pseudonymized information. In addition, when creating pseudonymized information, or when acquiring pseudonymized information and the deleted information, etc. (meaning the descriptions, etc. deleted from the personal information used to create the pseudonymized information, personal identification numbers, and information on the processing method) pertaining to the pseudonymized information, we will implement appropriate safe management measures in accordance with the provisions of laws and regulations pertaining to personal information.

Anonymized information

When we use anonymized information (information about an individual obtained by processing personal information in such a way that it cannot be used to identify the individual or restored into information that would be classified as personal information), we will comply with laws and regulations pertaining to personal information and follow appropriate procedures to create the anonymized information. In addition, we will take appropriate safe management measures and measures to supervise contractors when it comes to personal information. When providing anonymized information to a third party or receiving anonymized information from a third party, we will comply with laws and regulations pertaining to personal information and follow appropriate procedures.

We may use information about you as pseudonymized, anonymized, or statistical information to fulfill various purposes, not limited to the purpose of use at the time of acquisition, or in other ways permitted by the Personal Information Protection Act. Statistical information may be made public.

    When making a request for notification of purpose of use, disclosure or correction of retained personal data, etc., note the following points and send the required documents by post to us using the contact information below for requests related to personal information. These requests are only accepted by postal mail.

    Please note that we cannot accept requests by telephone or other methods, as we are unable to properly verify the identity of the individual making the request.

    Please also note that it is difficult to respond to such requests on the spot, so even if you come to our office in person, you will need to send us a separate request by mail.

If we need to have you resend the request by postal mail, we will dispose of the old request in an appropriate manner.

    We will mail a written response to requests for notification of purpose of use or disclosure of retained personal data by registered mail to the address of the person making the request, whether the request is made by the individual in question or by someone else on their behalf. Please note that although we mail written responses within one week of receiving requests, there may be a delay in the response due to business circumstances.

  7. Cases where we are unable to provide a response

    Please note that we will not be able to respond to requests in the cases below. If we are unable to provide a response, we will provide written notification along with the reason.

    We will only use the personal information we obtain in relation to various requests within the scope necessary to respond to those requests. In addition, the submitted identification documents will be disposed of in an appropriate manner without delay after the response to the request is provided.

    We will make appropriate improvements to our personal information management system. Accordingly, the Daio Paper Group Basic Policy on Personal Information Protection and “Handling of Personal Information” may be changed without prior notice to the extent permitted by laws and regulations pertaining to personal information. However, be assured that we will not make any changes that will be unilaterally disadvantageous to our customers.
